Privacy Policy
How SOIVIS collects, uses, shares, and protects information for RealmConquest accounts, gameplay, beta access, and future non-pay-to-win purchases.
Overview
This Privacy Policy explains how SOIVIS collects, uses, shares, and protects information when you use RealmConquest, including the website, accounts, beta access, realms, and related game services.
RealmConquest is a general-audience, free-to-play browser strategy MMO. The game is not directed to children, and players under 16 may not create an account or use the service.
Information we collect
The information we collect depends on how you use RealmConquest. It may include:
- Account information, such as your email address, username or display name, password authentication data, account preferences, and verification status.
- Gameplay information, such as realms joined, colonies, squads, outposts, resources, alliances, orders, battle reports, rankings, moderation actions, and other game-state records needed to run persistent worlds.
- Community and support information, such as messages, reports, requests, feedback, bug reports, and communications with administrators or support.
- Technical and usage information, such as IP address, browser and device details, session identifiers, pages viewed, in-game actions, error logs, security logs, and approximate location inferred from network data.
- Cookie and local storage data used for login sessions, security, preferences, analytics, and service reliability.
- Payment-related records for purchases, such as purchase history, entitlement records, invoices, receipts, tax or fraud signals, and payment processor references. Purchases are processed through Tebex Checkout, our payment platform. Tebex collects and handles your payment details directly; RealmConquest receives confirmation and entitlement data but does not receive or store raw payment card numbers.
How we use information
We use information to operate, protect, and improve RealmConquest. This includes:
- Creating accounts, authenticating players, maintaining sessions, and providing account features.
- Running persistent realms, resolving tick-based game systems, saving game history, and displaying player-facing game state.
- Detecting and preventing abuse, cheating, automation, multi-accounting, security incidents, spam, and violations of the Terms of Service.
- Moderating player behavior, investigating reports, responding to support requests, and enforcing game rules.
- Sending service messages, account notices, beta access updates, security notices, and purchase-related communications if purchases become available.
- Measuring performance, debugging errors, testing features, and improving balance, reliability, accessibility, and user experience.
- Complying with legal obligations and protecting the rights, safety, and property of players, SOIVIS, and the public.
Emails, notifications, and your choices
We send a small number of email types, and you control the optional ones from Settings > Communications in the game or from the unsubscribe link included in every optional email:
- Account and security emails, such as email verification, sign-in and password notices, and purchase receipts. These are required to operate your account and cannot be disabled while your account is active.
- Game alert emails, such as a notice that your colony was attacked or that your starter protection is about to end. We only send these when you are away from the game.
- Summary emails, such as a periodic digest of what happened in your realms while you were away.
- Every game alert and summary email includes a one-click unsubscribe link that works without signing in. Unsubscribing stops those emails immediately; account and security emails are unaffected.
- If you enable browser push notifications, we store the push subscription your browser creates so we can deliver them. Disable push at any time in Settings > Communications or in your browser settings; we delete subscriptions that stop working.
Product analytics, feature flags, and replay
We use PostHog to understand how RealmConquest is used, measure whether game features work as intended, deliver and evaluate feature flags, and diagnose application errors. PostHog processes limited account, gameplay-event, device, page, session, and error information on our behalf for these purposes.
We use aggressively masked, targeted session replay for limited groups, such as newer player accounts and sessions affected by an exception, rather than generally recording every session. Replay masks all visible text and all input values. We do not record console logs or network request and response contents, and recording is stopped on operator, editor, payment, email-verification-token, password-reset, invite-code, and public share-token routes.
Our custom analytics events do not include message or chat content, map coordinates, command payloads, email addresses, display names, IP addresses, or browser user-agent strings. Server-confirmed gameplay events use an internal numeric account identifier so they can be associated with the same account as client-side analytics.
Who processes your data for us
We use a small number of service providers ("sub-processors") to run RealmConquest. Each one processes personal data only on our instructions and under a data processing agreement. This is the complete list:
- Tebex — payments. Tebex is the merchant of record for every purchase: it takes the payment, issues the receipt and invoice, handles refunds and chargebacks, and collects and remits any sales tax or VAT. Card details go to Tebex and never reach our servers.
- PostHog (United States) — product analytics, feature flags, error tracking, and masked session replay. Only with your consent; see "Product analytics, feature flags, and replay" above, where you can also turn it off.
- Cloudflare — content delivery, map tiles, and site hosting for the game client.
- Discord — optional sign-in, and our community server. Used only if you choose to link a Discord account or join the server.
- Google — optional sign-in. Used only if you choose to sign in with Google.
- Resend — delivery of account, security, alert, and digest emails.
- OpenAI — passive staff-only review of player text and blocking moderation of uploaded images. Currently disabled.
- Discourse — our community forum, if you choose to use it.
- Our hosting provider — the servers that run the game. These are located in Germany, inside the EU.
Data retention
We keep information for as long as reasonably needed to provide the service, maintain account and realm history, resolve disputes, enforce rules, improve the game, meet legal obligations, and protect security.
Some gameplay records may remain in backups, audit logs, moderation records, or historical realm records after an account is closed, especially where they are necessary to preserve world integrity, investigate abuse, or comply with legal duties.
Children
RealmConquest is not directed to children. You must be at least 16 years old to create an account or use the service, and you are asked to confirm this when you register.
If we learn that we collected personal information from someone under 16, we will take appropriate steps to delete the information or disable the account. Parents or guardians who believe a child under 16 provided information to RealmConquest should contact SOIVIS.
Your choices and rights
You do not have to ask us for these. Under Settings > Privacy & Analytics you can download a copy of everything we hold about your account, turn product analytics on or off, and delete your account — no email, no support ticket, no waiting.
Deleting your account removes everything that identifies you: your email, display name, avatar, sign-in details, and contact preferences. There is a 14-day grace period first, and signing back in cancels it. What we do NOT delete is the realm history your account took part in — the battles, events, and world state of realms you played. That history is cryptographically chained and shared with every other player in those realms; removing your rows from it would corrupt other people's game history, and it is not something we can undo. After deletion, nothing in that history points back to you.
We also keep purchase records, because we are legally required to retain financial records. They are kept separately from anything that identifies you.
Depending on where you live, you may have additional privacy rights, such as the right to know what personal information is collected, request deletion, correct inaccurate information, limit certain uses of sensitive information, or opt out of certain sale or targeted advertising practices. We do not sell personal information or share it for cross-context behavioral advertising. If that changes, we will update this policy and provide required choices.
If you would rather write to us, or want to correct something rather than delete it, email [email protected]. If you are in the EU or UK and are not satisfied with our answer, you have the right to complain to your local data protection authority.
- Opt out of game alert and summary emails at any time from Settings > Communications or the unsubscribe link in any such email.
International use and EU players
RealmConquest is operated by SOIVIS LLC, based in the United States. The game servers are located in Germany, inside the EU. Some of our providers — notably PostHog and Resend — process data in the United States; those transfers are covered by the European Commission's Standard Contractual Clauses.
We are in the process of appointing a representative in the European Union under Article 27 of the GDPR. Until then, please contact us directly at [email protected] and we will respond as though the representative were already in place.
You also have the right to lodge a complaint with your national data protection authority.
Security
We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, and alteration. No online service can guarantee perfect security, so you should use a strong password, keep your credentials private, and notify SOIVIS if you suspect unauthorized access to your account.
Changes to this policy
We may update this Privacy Policy as RealmConquest changes. If changes are material, we will provide notice through the site, account notices, or another reasonable method. The effective date above shows when this policy was last updated.
